a. Exposition hours and site
The schedule and dates to visit the exhibition will be the 2-4 of November, 2011, the schedules referred to below.
EXHIBITORS are asked to be present in their exhibit area one hour before the exhibition officially opens.
b. DATE AND TIME FOR THE PUBLIC
OPENING: Wednesday, November 2, 2011 - 1:00 pm
EXHIBITION: Wednesday, November 2, 2011 from 12:00 noon.
to 07:00 p.m.
EXHIBITION: Thursday, November 3, 2011 09:00 am to 07:00 p.m.
EXHIBITION: Friday, November 4, 2011 09:00 am to 07:00 pm.
Exhibitors must set up a booth with its own design specifications. The spaces have basic electrical facilities described in the cubicle area. Therefore, any additional wiring must be performed by a qualified electrician hired by the exhibitor.
The stands consist of two or more adjacent modules, there will be dividing panels between them.
Exhibitor Services
During the exhibition schedule, there will be ORGANIZER personnel that will provide support required by the EXHIBITOR.
Outside the hours of assembly and disassembly of the Exposition, exhibition areas will remain under the supervision of campus security personnel, with no access to anyone.
i. Area aisles
These areas are open areas to give sight to the products displayed in the stands, so walls, blankets or structures that impede the passage or the view from inside the area allocated in any direction cannot be used,.
ii. Display equipment and material
a) The equipment and materials owned by the EXHIBITOR, required to decorate their exhibit area will be managed at their own risk and should be introduced to the exhibition site during the established schedule and set up time. This material must be inventoried by the EXHIBITOR in original and copy, with the format provided by the ORGANIZER. All material inventoried will be checked against the original form, with a copy being in your possession should be supervised by the head of campus security and signed by the person in charge of the exhibition area.
b) Equipment and material property of the EXHIBITOR, required to for your demonstration will be handled at the risk of the EXHIBITOR and must be introduced to the area designated by the ORGANIZER during the established schedules for set up.
c) No exhibitor equipment, material, etc., can be removed from the site before 9:00 pm, November 4, 2011, following all safety guidelines outlined in this regulation. No display product should leave the exhibition area during the event.
d) If the EXHIBITOR requires their own advertising media, with the image of the event, this will require the approval of ORGANIZER.
iii. Special assembly or installation.
a) For decorating exhibition areas and in your case, the area designated for the demonstration, it is prohibited the introduction or installation of equipment requiring gas and flammable liquids, to place, screw, drill or staple items on the ground, nor the use of adhesives or the like.
b) Similarly, no advertisements or signs may be placed elsewhere other than within the contracted space. The space has a height restriction of 3.00 meters. No demonstrations that damage the floor, walls or any part of the site installations are permitted. No exhibitor may assign any concept under the allocated space.
c) The sound emission intensity is subject to the ORGANIZER’s authorization for the operation of the activity. No exhibitor may use any device or instrument that causes excessive noise and damage to adjacent stands.
d) If the EXHIBITOR causes any damage to facilities, materials or equipment, the ORGANIZER, site exhibitor, or other exhibitors, will settle the repair or replacement for the corresponding immediately.
e) No temporary wiring shall be permitted that do not meet safety regulations according to their function, nor risky connections made outside of available outlets. In case of damage, the EXHIBITOR must settle prior to the close of the event.
f) If any modification is required to the stand or the removal of any special or additional wiring, the EXHIBITOR must show it to the ORGANIZER.
g) The ORGANIZER will not provide Internet connections; this service must be processed and paid for by the EXHIBITOR directly to the provider of that service, which we offer through the Service Providers section.
h) If the EXHIBITOR wants a special design for their stand, they should directly contract it with your provider, or find your own designer. In both cases the appropriate charge will be covered by the EXHIBITOR.
i) All equipment or materials, etc., which has been rented by the EXHIBITOR must be returned the same, releasing any liability of the ORGANIZER.
iv. Security
The Hotel Real Intercontinental maintains proper security controls at the entrances and exits of the building. In addition, organizers hire the permanent services of private security guards to protect the areas occupied by the exhibition. However, each exhibitor is responsible for the security of articles left in your booth, as set out in the Regulations.
The ORGANIZER is not responsible for any incidents in the area outside the premises, including parking. Therefore, we ask you to take the necessary precautions to avoid any incident.
a) The organizers are not responsible for any losses that may occur in the stands that do not have a personal presence of the company from the start time of set up until the completion of dismantling your stand.
b) You may not enter or withdraw any promotional items, accessories or office machinery or computers (laptop, TV, DVD, VCR, etc.) that is not properly inventoried in the security form and sealed by the security company of the event. Any failure at this point of regulation will be the direct responsibility of the EXHIBITOR.
v. Obligations of the exhibitors
a) The cleanliness of each exhibit area will be the direct responsibility of each EXHIBITOR. The common areas like hallways and any other area outside the exhibit area will be the responsibility of the ORGANIZER.
b) The EXHIBITOR is subject to the safety provisions established by the ORGANIZER, the local characteristics, the installed equipment and signage, as well as the preventive measures that apply before and during the event.
c) Similarly, within the indicated times and dates, the EXHIBITOR will be solely responsible for the security of their materials, supplies, inventory or any of their belongings, freeing the ORGANIZER of all liability.
Monday, October 31 and Tuesday, November 1: Stand Assembly: from 08:00 am to 08:00. pm
Wednesday, November 2: Stand Assembly: from 07:00 am to 10:00. am
EXHIBITORS may begin dismantling their exhibit area at 09:00 pm on Friday, November 4, 2011, for return (of the site) in the state it was received, no later than 11:00 pm.
